This policy explains how Lokaris processes personal data when you browse lokaris.eu, contact us, request an estimate or attach files to an enquiry.

1. Who is responsible for your data

If a written quotation or contract identifies a specific legal entity for your engagement, that document supplements this policy and determines the contracting party for that project.

2. Data we collect

We collect only the information needed to operate the website, respond to enquiries and protect our services.

  • Contact and enquiry details, including your name, phone number, email address, message, country code and preferred language.
  • Files you choose to attach, such as product references, specifications, images or commercial documents.
  • Technical and security information, such as request time, source page, browser or device data, IP-derived information and service logs.
  • Your cookie-consent preference and, only after consent, optional website analytics data.

3. Why we use it and our legal bases

Depending on the context, we process personal data for the following purposes and legal bases under the GDPR:

  • To respond to your request, prepare an estimate and take steps before a possible contract (Article 6(1)(b)).
  • To administer, secure and improve the website and prevent misuse, based on our legitimate interests (Article 6(1)(f)).
  • To meet accounting, tax or other legal obligations where applicable (Article 6(1)(c)).
  • To use optional Google Analytics only when you have consented (Article 6(1)(a)). You can withdraw that consent at any time.

4. Service providers and international transfers

We use service providers only where needed to run the website and handle enquiries. These may include Vercel for hosting and security, Resend for email delivery, Telegram for internal lead notification, and Google only if Analytics is configured and you accept analytics cookies.

Some providers may process data outside the European Economic Area. Where required, transfers are covered by an adequacy decision, standard contractual clauses or another lawful safeguard. Please avoid sending sensitive or unnecessary personal data in an enquiry or attachment.

5. How long we keep data

Enquiries and attachments are normally kept for up to 24 months after the last substantive contact, unless they become part of a contract or a longer period is required to establish, exercise or defend legal claims or meet legal duties.

Security logs are retained only as long as reasonably needed for security and troubleshooting. Consent preferences remain in your browser until you change them, clear browser storage or the consent version changes. Analytics retention is controlled in the relevant Google Analytics property.

6. Your rights

Subject to the conditions in data-protection law, you may request access, correction, deletion, restriction, portability or object to processing. Where processing is based on consent, you may withdraw it without affecting earlier lawful processing.

  • You may lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (UODO), or the authority in your habitual place of residence or work.

7. Security, automated decisions and updates

We use proportionate technical and organisational measures to protect personal data. No internet transmission or storage system can be guaranteed completely secure.

We do not use website data to make decisions that produce legal or similarly significant effects solely by automated means. We may update this policy when our services, providers or legal obligations change; the current date appears at the top of this page.

This page describes the website and enquiry process. Specific sourcing, production and delivery engagements are governed by the written quotation or contract agreed with the client.
